Help us reimagine the VSAE Annual Conference

As Virginia reopens, we look ahead to VSAE’s first larger in-person meeting, the Annual Conference (Aug 16-18). VSAE is creating a work group of members to help collectively create a reimagined conference experience. First and foremost, our conference will adhere to safety guidelines outlined by the CDC and the state. The purpose of this group will be to help VSAE staff and Colonial Williamsburg Resorts create an engaging and fun in-person experience within the safety guidelines. For example, if everyone is 6 feet apart, what are some creative ways to get people to interact during a networking reception? Since handshakes and hugs are not recommended, what are alternative ways to let your colleagues know you’re happy to see them? If attendees are to be sitting four per round, how can we keep table conversation flowing comfortably? If breakout sessions are set as one person per 6 ft. table, how will we break out into small group discussions?

Work Plan - This work group is intended to be a collective brainstorm. The majority of the group's work, i.e. idea-sharing, will be done via email. What do we need from you? Cool ideas, safety solutions, setups suggestions, socially-distant networking techniques, etc. Anything that you have read about, heard about, seen in person, or would like to see at this event. Feel free to share anything. There are no bad ideas!

  • Work Group volunteer sign up closes at 5:00 p.m. on Friday, July 17
  • Thursday, July 23, 10:00 - 11:00 a.m.: Zoom meeting with VSAE Staff to discuss current plans within safety guidelines.
  • Volunteers will submit their ideas and suggestions to VSAE Staff over the following weeks. 
  • VSAE Staff will implement the ideas and suggestions that are best suited for the Annual Conference. 
  • Post-event, VSAE Staff will compile a list of all ideas and suggestions to create a resource document to be shared with the membership for you to use at your own in-person events.
